This Privacy Policy explains how VoiceCheap Studio collects, uses, protects, and retains personal data and project files when you visit our website, contact us, or entrust us with an audio or video localization project.

VoiceCheap Studio is built for professional content that may be confidential: internal training, company messages, product demos, marketing videos, glossaries, brand documents, and files intended for publication.

We work with GDPR-aligned workflows, restricted access, project-level retention, and appropriate contractual frameworks when the context requires them.

1. Who we are and scope

This policy applies to the VoiceCheap Studio website, sales communications with our team, and projects delivered through the managed VoiceCheap Studio service.

The service consists of receiving your content, scoping the request, producing localized versions, reviewing quality, and delivering final files. Data is used for these purposes and for related security, support, billing, and compliance obligations.

2. GDPR roles

For data related to the website, sales requests, and customer relationship management, VoiceCheap Studio generally acts as data controller.

For files and personal data you provide so we can produce deliverables, VoiceCheap Studio generally acts as processor on behalf of the customer, unless a contract, quote, DPA, or other written agreement states otherwise.

The customer remains responsible for having the necessary rights, notices, and consents for the people, voices, images, brands, documents, and content submitted to VoiceCheap Studio.

3. Data we process

We collect only the data useful for the website, sales relationship, project production, and service security.

  • Business contact details: name, email, company, role, country, messages, quote requests, and information shared during a call.
  • Project data: videos, audio, transcripts, subtitles, glossaries, brand documents, pronunciation notes, tone guidance, approvals, and delivered files.
  • Technical data: viewed pages, analytics events, device type, browser, approximate IP address, security logs, and information needed to prevent abuse.

4. Why we use this data

We use data to perform the requested service, respond to sales requests, secure the workflow, improve internal processes, and meet legal or contractual obligations.

  • Performance of a contract or pre-contractual steps: quotes, scoping, production, review, delivery, support.
  • Legitimate interest: securing the service, preventing abuse, improving the website, organizing communications, and managing the business relationship.
  • Legal obligation: accounting, tax, handling data-rights requests, and retaining necessary evidence.
  • Consent where required: certain cookies, optional communications, or processing activities that require specific permission.

5. File security and confidentiality

We treat customer files as private content. Access is limited to team members and providers who need to work on the project: scoping, production, review, delivery, support, or security.

Measures may vary by project, but our approach is based on access limitation, data minimization, project separation, professional tools, controlled delivery links, and pre-defined retention where needed.

  • Access restricted to the people required for the project.
  • File sharing through controlled tools and delivery links.
  • DPA and NDA available depending on business or contractual needs.
  • Retention and deletion discussed during scoping for sensitive content.

6. AI, subprocessors, and providers

VoiceCheap Studio uses VoiceCheap technology and may rely on selected providers for hosting, storage, transcription, translation, dubbing, speech synthesis, synchronization, analytics, support, and delivery.

These providers access data only to the extent needed for their role. We do not sell your files, contacts, glossaries, or project content.

When a project requires specific safeguards, we can document subprocessors, processing locations, retention periods, and confidentiality commitments in a DPA, quote, or specific agreement.

7. Transfers outside the EEA

Some tools or providers may process data from countries outside the European Economic Area. Where GDPR requires it, we rely on appropriate safeguards, such as Standard Contractual Clauses, contractual commitments, or additional measures suitable for the relevant service.

8. Retention and deletion

Project files are retained for the time needed for production, review, delivery, and support. For sensitive content or major catalogs, a specific period can be defined during scoping or in the contract.

Sales, administrative, accounting, or security data may be retained longer where required by law, accounting, fraud prevention, or the defense of legal rights.

9. Cookies and analytics

The website may use cookies and analytics events to understand viewed pages, measure the effectiveness of user journeys, and improve the website. Where required by law, certain cookies or trackers may depend on your consent.

10. Your GDPR rights

If GDPR applies to your situation, you may request access, rectification, erasure, restriction, objection, or portability for your personal data. You may also withdraw consent where processing is based on consent.

To exercise these rights, contact us at kevin@voicecheapstudio.com. We may request reasonable information to confirm your identity and understand the request. In Europe, you may also contact your local data protection authority.

11. Security incidents

If a security incident affects personal data or project files, we take reasonable steps to contain the incident, assess its impact, and notify relevant parties where required by law or contract.

12. Contact

For any question about this Privacy Policy, personal data, a DPA, an NDA, or a specific retention rule, contact us at kevin@voicecheapstudio.com.
